Submit an approval decision on a proof
Reviewers on an approval stage submit a decision -- such as approve or request changes -- on a proof. This article covers submitting an approval decision.
Who can submit a decision
You can submit a decision on a stage if:
- The stage is currently active (decisions can't be submitted on a stage that hasn't started or has already completed), and
- You (or a group you belong to) are listed as a reviewer on that stage with Can approve permission. Reviewers with only Can comment can leave feedback but can't record a decision.
Each reviewer can only submit one decision per stage — once you've decided, the option to decide again on that stage is gone.
Submit your decision
- Open the asset and find the active approval stage in its Workflow section.
- Next to your name (or your group's row) you'll see three buttons: Approve, Changes, and Rework.
- Click the one that matches your decision:
- Approve — records
approved - Changes — records
approved_with_changes - Rework — records
needs_rework
- Approve — records
Your row updates to show your decision as soon as it's submitted.
What happens next
After you submit, the stage checks whether its decision mode is now satisfied — for example "everyone must approve" needs every approver to have decided, while "one approval is enough" closes as soon as any single approver decides. If the stage isn't done yet, it just records your decision and waits on the remaining approvers.
Once the stage does close, the outcome is always the worst decision among everyone who decided — one "Needs rework" overrides any number of approvals. When the stage completes:
- Any stage configured to start "after" this one, once its chain condition is met, activates automatically.
- If this was the last stage, the whole workflow is marked complete.
If the stage requires a decision mode that hasn't been met, your decision is still recorded and counted — you just won't see the stage close until the mode's condition is reached.
