Attach a workflow template to an asset

You can attach a workflow template to an individual asset so it moves through defined review or production stages. This article covers attaching a workflow to an asset.

Before you start

  • Attaching a template requires the Apply workflow permission.
  • Only published templates can be attached — templates still in draft in the Admin Console won't appear in the picker.
  • An asset can only have one workflow at a time. If it already has one, you need to remove it before assigning a different one.

Attach a template to one asset

  1. Open the asset and go to its Workflow section.
  2. If the asset has no workflow yet, click Assign workflow. If it already has one, click Switch to open the same template picker.
  3. Pick a template from the list of published templates.

As soon as you pick a template, it's assigned immediately — there's no separate confirm step. If the asset already has a workflow assigned, the assignment is rejected and you'll see: "This asset already has a workflow. Remove it first before assigning a new one." Use the trash icon next to the workflow header to remove the current one, then attach the new template.

What happens right after attaching

Once a template is attached, any stage configured to activate "When workflow is applied" starts immediately — you don't need to manually start it. Stages configured to start manually or after another stage's outcome stay pending until their trigger condition is met (see Manually start the next workflow stage).

Apply a template to multiple assets at once

If you've selected several assets (in a project or in All Assets), you can apply one published template to all of them at once instead of attaching it asset by asset:

  1. With multiple assets selected, choose Apply Workflow from the selection actions.
  2. Pick a template from the list.
  3. If some of the selected assets already have a workflow assigned, you're asked what to do: Replace their workflow too, or Only apply to the rest, skip these.

Assets that don't yet have a workflow are always assigned the new template; assets that already have one are only touched if you choose to replace.

Customizing stages after attaching

Once a workflow is attached, you can still adjust an individual stage's reviewers/assignees, due dates, and other settings for that specific asset from the stage editor, without affecting the shared template. This is useful when one asset needs a different reviewer than the template's default.
