View active instances of a workflow

You can see every asset currently running through a given workflow template. This article covers viewing active workflow instances.

What's actually available today

The Admin Console → Workflows list shows each template's Draft/Published status, but it does not show a live count of how many assets are currently running that template, and there is no dedicated "active instances" list or drill-down view showing which specific assets are on a given template.

The closest the admin console gets to acknowledging active instances is qualitative, in two confirmation dialogs:

  • Revert to draft: "[Template] will become a draft and will no longer be available for new assignments. Active instances already running are not affected." — this tells you existing instances keep running, but not how many there are.
  • Delete: warns only that deletion "cannot be undone" — it does not separately call out or count active instances.

If you need a numeric count or list of assets per template, that isn't currently implemented in the admin console.

Where to actually see a workflow's progress

To see how a specific asset is progressing through its workflow, open that asset directly — each asset's detail view has its own workflow-progress display showing the stages and where the asset currently stands. This is asset-by-asset, not a global list of every asset on a given template. If you're trying to answer "which assets are on this workflow right now," you'd need to check assets individually rather than through the Workflows page.
