Create and publish a workflow template

Workflow templates are built once and then published so they can be attached to projects or assets. This article covers creating and publishing a template.

Starting a new template

  1. Go to Admin Console → Workflows and click New workflow.
  2. In the dialog that opens, either:
    • Pick one of the starter templates (e.g. Video Asset, Quick Approval, Legal Document) — this pre-populates the stage list with real stage names, types, and durations you can edit freely, or
    • Click Start from scratch — this opens the builder with a single blank approval stage.
  3. The builder opens with the workflow name field focused. Type a name — a name is required before you can save.

Building out the template

Once in the builder you can:

  • Add more stages with the Add Production Stage / Add Approval Stage buttons at the bottom of the stage list.
  • Configure each stage's Reviewers, Activate, Decision, Due date, Notifications, and Actions panels (see the other articles in this section for each of these).
  • Set the workflow-wide Access Policy (Stage-locked / Cumulative / Manual reverse) next to the name field — this controls whether project/asset access is revoked or kept as the workflow moves between stages.
  • Click Reminders to configure workflow-level reminder emails to reviewers who haven't decided yet.
  • Switch between the Stages list view and the Flow diagram view using the toggle above the builder card.

The metrics row (stage count, reviewer count, total duration) updates live as you build.

Saving as a draft vs publishing

  • Save draft stores the template without making it available to attach to new projects or assets.
  • Publish (the button reads Update once a template has already been published) makes the template available for use, and stamps it with a "Published" badge in the workflow list.
  • If you try to leave the builder with unsaved changes, a dialog offers to save/publish or discard before returning to the list.

A template must have a valid name (at least one letter or number) to be saved in either state.
