Why reviewers only see assets during their stage
Reviewers on a workflow are generally only shown an asset while it's in their assigned stage, keeping their view focused. This article explains the reasoning and behavior.
Once a workflow is applied to an asset, workspace-wide visibility rules stop applying to it — visibility comes from the workflow instead. By default, a reviewer only sees the asset while the stage they're assigned to is the active one.
Why
This keeps a reviewer's queue focused on what's actually theirs to act on right now, instead of surfacing every asset from every stage of every workflow they're ever been assigned to.
The three stage-visibility modes
A workflow template sets one of three modes for how long a stage's reviewers keep access:
- Stage-locked (default) — access only while that specific stage is active.
- Cumulative — access from when the stage becomes active onward, including later stages, so reviewers keep seeing the asset after their own stage closes.
- Manual-on-reverse — behaves like Cumulative going forward, but if a later stage is reverted back to an earlier one, access is withdrawn until someone explicitly re-grants it.
What still applies regardless of mode
- The asset's owner can always see it.
- Anyone holding an explicit invite (see Invite someone to review an asset) can still see it, independent of stage.
- A reviewer assigned through a group only has access while they remain a member of that group (see Control what a workspace group can see).
