Control what a workspace group can see

Group-level visibility settings let you control which projects and assets a group of members can access. This article covers configuring what a group can see.

Groups don't carry a separate visibility setting of their own — they control access through the same two mechanisms available to individual members.

Assign the group to a workflow stage

  1. Open the workflow in Admin Console → Content → Workflows and edit a stage.
  2. In the stage's Reviewers panel, search for and add the group — alongside or instead of individual members.
  3. Set the group's permission the same way as an individual reviewer.

Every current member of the group gains access to assets on that stage. Anyone added to or removed from the group afterward is picked up immediately — no need to re-edit the stage. See Why reviewers only see assets during their stage for how long that access lasts.

Share an asset directly with a group

When inviting people to review a specific asset (see Invite someone to review an asset) or bulk-sharing several at once, groups appear in the same suggestion list as individual members. Selecting one adds every current member of the group as an invitee in a single action.

A note on Open-mode workspaces

If your workspace is in Open mode, members can already see assets that have no workflow applied, regardless of group membership. Assigning a group to a stage decides who's asked to review — it doesn't restrict who can see the asset — until a workflow is applied to it, or the workspace is switched to Restricted mode.
